A review request should invite an honest account of a real customer experience. It should not screen for happy customers, offer a reward or pressure someone to change a negative review. A useful template is brief, neutral and sent at an appropriate point in the service journey.
Decision framework
| Step | Practical check |
|---|---|
| Choose the moment | Ask after the product is delivered or the service is complete, not while a complaint is unresolved. |
| Use neutral language | Invite honest feedback without suggesting a star rating or preferred answer. |
| Make leaving a review optional | Provide a legitimate link and no repeated pressure. |
| Log consent and responses | Respect channel preferences and stop requests when a customer opts out. |
How to make the decision
Write one short message that identifies the business, thanks the customer and invites a genuine review. Give staff a rule for when to send it and when not to. Test the link on mobile and check that the destination is the intended Business Profile. Keep a separate private feedback route for support, but never use it to prevent dissatisfied customers from reaching the public review option. Review the template against the current platform policy before automation.
Worked example
Illustrative local retailer message: “Thank you for visiting us today. If you would like to share your experience, you can leave an honest review here: [link]. Your feedback helps other customers understand what to expect.” The store sends it once after collection, with no discount and no star-rating prompt. A customer with an open refund case is handled by support, not chased for a review.
What can change the answer
Do not promise that more reviews will directly create a ranking increase. Incentives for posting, changing or removing reviews violate Google’s policy.
Review checklist
- Is the request genuinely neutral?
- Is there no reward or selective gate?
- Can the recipient ignore or opt out?
Common question
Can staff ask only delighted customers?
No. A neutral process should give eligible customers the same opportunity to share an authentic experience.
