Customer account transfer is a login and support decision, not a spreadsheet import alone. A migrated customer record may exist while passwords, addresses, consent choices or account history behave differently on the new platform. Tell customers what will change before launch.
How to make the decision
Document which fields can transfer, which cannot, and the legal basis for moving customer data. Test an existing account, a guest buyer, an account with multiple addresses, and a customer who uses a password reset. Confirm the new login flow, email verification, saved addresses, order visibility and support identity check. Test whether old account links redirect to the correct new page. Prepare a clear customer message when a reset or reactivation is required. Keep sample data masked where possible, and have the data owner approve any full export.
Worked example
Illustrative migration: 5,000 customer rows import, but a test user’s old password cannot work on the destination platform. The project had marked the import “complete” based on the row count. The team changes the acceptance criterion to successful account activation, working reset email and support lookup. A test account receives the reset message, logs in, sees its address and can find a past order. The customer notice explains the required step without claiming passwords were moved.
What to verify
- Do account fields and consent choices map correctly?
- Is password behavior documented?
- Has a reset email been tested end to end?
- Can support verify the account after launch?
Limits and ownership
Never promise a seamless password transfer unless the source and destination platform support it and the flow has been tested. Protect account exports as sensitive data.
What to hand over
Give support an account-transition script that states whether old passwords work, how to reset access and what history should appear. Test it with staff who did not build the migration. An understandable support answer is part of acceptance because customers will contact the team when the first login fails.
Common question
Is importing customer CSV files enough?
No. It creates records; customer access and support continuity need separate tests.
