A catalog freeze is the agreed moment after which product changes need a controlled path into both the old and new stores. Without one, prices, stock or descriptions can change after the final export and leave the destination wrong on launch day.
How to make the decision
Set the freeze start, final import, validation and launch times with the merchandising and operations owners. Decide which edits must stop, which urgent corrections remain allowed, and how each exception is logged. Keep a change ledger with SKU, field, old value, new value, approver, source timestamp and destination confirmation. Schedule final export after the agreed freeze and compare the destination against that snapshot. After launch, clear the exception ledger before reopening normal edits. Include promotions, bundles and shipping rules if they depend on catalog data.
Worked example
Synthetic Friday launch: a retailer freezes prices at 18:00 Thursday. At 20:00, the commercial team approves an urgent price correction on SKU-44. The editor logs the change and updates both source and destination, but the first acceptance test still shows the old sale price on one variant. The team finds a separate variant row in the import file and corrects it before go-live. The ledger proves which price was approved and where it landed.
What to verify
- Are freeze and launch timestamps explicit?
- Can urgent changes be logged and applied to both stores?
- Are variants and promotions included?
- Has the exception ledger been cleared after launch?
Limits and ownership
A freeze cannot stop real stock movement. Define how live inventory updates will be captured and reconciled close to cutover, especially for fast-selling items.
What to hand over
Circulate one freeze notice with the exact time, fields affected, exception channel and final approver. Give the launch lead the change ledger at cutover. A separate unchecked chat message should not be considered a catalog update; every exception needs source and destination confirmation.
Common question
How long should a catalog freeze last?
Keep it only as long as final export and validation need; the duration depends on catalog size and import time.
