A suspicious review is not automatically a fake review. Document observable evidence, check the platform policy and report only when there is a plausible violation. A disagreement about service quality is handled through customer care, not a removal request.
Decision framework
| Step | Practical check |
|---|---|
| Preserve the record | Save the review URL, date, text and a screenshot before it changes. |
| Check facts carefully | Compare claimed visit details with the records you are permitted to inspect, noting uncertainty. |
| Map to policy | Identify the specific suspected violation, such as spam or impersonation, rather than a vague objection. |
| Use the official route | Report through Business Profile or the Reviews Management Tool and record the status. |
How to make the decision
Keep an evidence register with review ID, business location, suspected policy category, observed facts, report date and decision. Do not upload private customer records into a public reply. A business may have incomplete records or a visitor who did not purchase, so absence from the CRM alone is not proof of fabrication. If Google decides there is no violation, note the outcome and consider a calm public response where appropriate. Use the one-time appeal path only when new or clearer policy evidence supports it.
Worked example
Illustrative multi-location business: a review alleges a visit to a branch that did not exist on the stated date and repeats identical text across several locations. The team saves URLs and dates, checks opening records, and reports the suspected spam pattern. It does not post the reviewer’s name or speculate about a competitor. The register shows “decision pending” until Google responds.
What can change the answer
Google’s policy, not the business’s preference, determines eligibility for removal. Do not claim a reported review will disappear.
Review checklist
- Is the suspected violation specific?
- Are facts separated from assumptions?
- Was the official status recorded?
Common question
Can a one-star review be removed for being unfair?
Not on that basis alone. Report content that violates the platform policy and respond constructively to genuine criticism.
